Customer Section

When you click into the customers section there will be tabs on the right side of the screen (on a computer), or below (on a phone). You should enter ALL pertinent information for your client here. Including their credit card information. NEVER take credit card information without having them

Filter by:

  • Active

  • Invited (sometimes you need to manually move them to active if you’ve sent them an invitation to join your database)

  • Lead

 Client Profile

  • Address is the first tab on the right on a computer, or underneath on a phone

  • It’s best to gather:

    • Name

    • Address

    • Birthday

    • Phone Number

    • Email

 Family

  • Encourage your client to enter this information themselves through the invite tab or self service tab

  • You will want all the travel party or immediate family info for the booking process:

    • Name

    • Birthday

    • Gender

Disney App Login

  • Need in order to link your client’s reservations to their account and to book dining

New CC Information

    • When you are about to book your client’s reservation and need a credit card number you will send this form

    • You will need to enter the amount that they are authorizing you to charge and client will enter their own credit card information

    • If this is a repeat customer you can request Payment Authorization from the Reservation

  • Loyalty/Rewards Account

    • Can be sent for various suppliers. Ex: Royal Caribbean Crown and Anchor, Marriott Bonvoy, Hilton Honors etc. 

  • Payment Authorization

    • When you are in a booking and need to authorize a new amount for the card you already have on file

  • Payment Authorization (enter new CC)

    • When you need to authorize a payment on an existing booking but need to process a new credit card.

Self Service Invitation

  • If you need to update any general information for the client or travel party this will send an invitation to the listed email

  • This is a way to invite a new client to a database. You’d have to manually create the client with name and email

Accessing Credit Cards

    • Will show under Payment Cards tab

    • CVC or Security code will not show here. You will need to gather that information from CC Authorization Form from the Form tab

      • Note there is no space for CVC. I like to manually enter it under notes and save for easier use

    • You will be prompted to request a security code via email or text.

      • If you are not receiving the text code, make sure your profile has your phone number

    • Payment information will show once entered

General Notes

Add any extra information Ex: if a client changed their Disney password and send it via text or they are AP at Universal

Add any documents of importance here:

  • Passport

  • Driver’s License

  • Birth Certificate
